Our Constitution

As a registered Charity, our Constitution is a particularly important document. Amongst other things it sets out our agreed charitable purpose, our membership and Executive Committee rules and powers, our financial obligations and processes, and the rules and proceedings for our meetings, including our Annual General Meeting. Our Key Policy Documents

As a well run, independent charity, we are required to write, agree and regularly update a number of key policy documents. These include:

PolicyPurpose
Health and Safety PolicyTo provide and maintain Safe and Healthy conditions and environments for all members including during the meeting of all Newcastle u3a Groups, Monthly Meetings and at Events. Our risk assessment checklists are provided separately on this page.
Incident Report FormA copy of the form that must be completed by a Committee member or group leader if there is an accident involving a person or property, even if it is unlikely that a claim will be made against the u3a.
Safeguarding Guidance, Policy and Procedures To demonstrate the commitment of Newcastle u3a to
safeguarding their members and to ensure that everyone involved in the organisation is aware of: 1. The legislation, policy and procedures for safeguarding adults; 2. Their roles and responsibilities; and 3. what to do if they have a concern.
Equality, Diversity & Inclusion PolicyTo comply with the Equality Act 2010 this policy aims to ensure that the u3a does not treat anyone unfairly on the basis of their: Age, Disability, Sexual Orientation, Marriage / Civil Partnership, Race, Religion or Belief.
Privacy PolicyTo set out how Newcastle u3a collects and uses personal data about its members, and people who contact us for any reason, including visitors to this website.
GDPR 1: Data Protection PolicyTo set out how personal information will be collected, stored, processed, retained and deleted by Newcastle u3a in line with data protection principles and the General Data Protection Regulation (GDPR).
GDPR 2: Legitimate Interest - Membership DataTo provide justification regarding why the u3a needs to hold information about its members, within the GDPR framework
GDPR 3: Legitimate Interest - Emergency ContactsTo provide justification regarding why the u3a needs to hold members' emergency contact details, within the GDPR framework.
Complaints ProcedureTo enable the Executive Committee of Newcastle u3a to act appropriately and quickly whilst maintaining confidentiality when dealing with any complaints concerning any member.
